Privacy policy

Last updated September 13, 2026. Beacon Dental Solutions LLC, Boston, Massachusetts.

The short version

This website collects what you type into the contact form, or into the scheduling calendar if you choose to open it, plus the standard server logs our web host keeps. We use it to reply to you and to hold the call. We do not sell it, we do not share it for advertising, and there are no trackers, no analytics and no advertising cookies anywhere on this site.

Patient information is not covered by this policy

If your practice becomes a Beacon client, the handling of protected health information is governed by the Business Associate Agreement between us and by HIPAA, not by this policy. Our contact form asks you not to include patient information, and you should not.

What we collect on this site

When you submit the contact form we receive the name, practice name, email address, telephone number, practice size and message you provide. Our web host keeps standard server logs, which include IP addresses and are used for security and troubleshooting.

This site uses no analytics cookies, no advertising cookies and no tracking scripts. Its pages load nothing from anywhere else unless you ask them to. Our web host serves the site and may set a cookie of its own that is needed to deliver the page; it is not used to track you and we do not read it.

The scheduling calendar

On the contact page you can book a call directly. That calendar is provided by HubSpot, and it is the only third-party content on this website. It does not load when the page loads. Nothing is requested from HubSpot, and HubSpot learns nothing about your visit, until you press the button that opens it. We tell you that on the page before you press it.

Once you open the calendar, HubSpot receives the information needed to show it and may set cookies in your browser under its own privacy policy. If you book a time, the name and email address you give are held in our HubSpot account so that we can send the confirmation and hold the call. If you would rather not use it, the contact form and the telephone number do the same job and involve no third party at all.

We do not put patient information into HubSpot, and we do not ask you to.

De-identified information

Where we create de-identified information from patient data under our agreements with dental practices, we maintain and use it only in de-identified form, we do not attempt to re-identify it, and we require anyone we share it with to do the same. This is a public commitment, and it is repeated in the agreement each practice signs.

How we use it

To reply to your inquiry, to arrange and hold a call with you, to send the confirmation and reminder for a booked call, and to keep a record of our correspondence. We keep inquiry records for as long as we may reasonably need them for that purpose and then delete them.

Who else sees it

Our email provider, our web host and HubSpot, which provides the scheduling calendar and holds our customer records, process it on our behalf. We are putting each of them under a written contract that limits them to doing what we instruct and nothing of their own, and that contract is in place before any client data reaches them. We do not sell personal information and we do not disclose it to anyone else except where the law requires it.

Your choices

Write to hello@beacondentalsolutions.com and ask us for a copy of what we hold about you, ask us to correct it, or ask us to delete it. We will do it, with two exceptions we have to be straight about: records the law requires us to keep for six years, and anything under a legal hold. We will tell you if either applies to you, and delete the rest. Residents of certain states, including California, have specific statutory rights of access, correction and deletion. We honor those requests from anyone who asks, without requiring you to establish that a particular statute applies to you.

Security

We protect information with administrative, technical and physical safeguards appropriate to its sensitivity. Our written information security program under Massachusetts 201 CMR 17.00 is adopted and takes effect before we hold any client data. No method of transmission over the internet is perfectly secure, and we do not claim otherwise.

Children

This site is aimed at dental practices and is not directed at children. We do not knowingly collect information from anyone under 16 through this website.

Changes, and how to reach us

If we change this policy we will change the date at the top. For anything at all, write to hello@beacondentalsolutions.com or to Beacon Dental Solutions LLC, Boston, Massachusetts.
