How it works

We work in your system. Your records stay where they belong.

Beacon is not a system you have to adopt. We work in the practice-management software you already use, under logins you create and can switch off, and your patients never deal with us.

An empty dental treatment room: chair, overhead light, instrument tray and cabinetry
Your room, your system, your logins. Beacon works behind this, never in it.
1

Week one: we get set up

You create named logins for us in your practice-management system, your clearinghouse and the payer portals you use. We read your fee schedules and payer enrollments, agree the scope in writing, and take a baseline of where your insurance accounts receivable stands today.

What you do: one call, the logins, and about an hour of your office manager’s time.

2

Every day after: we work your revenue

Insurance verified before the patient arrives. Claims prepared and submitted. Payments posted. Denials worked, not filed away. Aging insurance claims chased until they resolve. Your front desk stops sitting on hold.

What you do: keep the appointment schedule current so we can see visits far enough ahead to verify them.

3

Every month: you see everything

A scorecard with the five numbers our guarantee is measured on, plus the reported numbers we do not guarantee: insurance collections, days in accounts receivable, aging over 90 days against your baseline.

What you do: read it. If we missed a floor, the credit is already on your invoice.

The work itself

What we actually do all day.

Dental insurance revenue leaks in six specific places. Beacon covers all six, or the first one on its own if you would rather start small. All six sit on the payer side of your ledger.

  • Eligibility and benefits. Not a coverage-active check. The real breakdown: frequencies, history, waiting periods, downgrades, maximums and what the patient will owe.
  • Claims. Prepared from the codes your clinical note supports, with attachments and narratives where the payer needs them, and submitted clean the first time. Code selection stays a clinical decision and stays with you.
  • Payment posting. Remittances posted and reconciled so your ledger reflects what actually happened.
  • Denials and appeals. Every denial given a disposition within five business days, appealed with the documentation the payer asked for.
  • Insurance accounts receivable. Payer aging worked oldest first, with a written note on every claim so you can see what was tried.
  • Prior-authorization support. Requests prepared and tracked with the documentation the payer asks for. What the payer then approves is reported, never guaranteed.
  • What we do not do: patient statements, patient balance follow-up, payment plans, taking patient payments, or referring a patient balance to a collection agency. Patient billing stays with your front desk, and your patients never deal with us.
  • All government-program claims. Medicaid, Medicare, CHIP, TRICARE, any other state or federal program, and any managed-care plan that administers one. We do not work those claims, onshore or offshore, so they stay with your practice.

Under the business associate agreement you sign, and nowhere else.

No Beacon patient database We keep no patient list of our own. The only data we keep for ourselves is de-identified.

The insurance data we work on sits in our own US-hosted environment under a business associate agreement. The full security model, including how any delivery subcontractor we engage will be contained, is on the data page.

Two ways to start

Hand over everything, or test us on one thing.

Verification only

We take insurance verification and benefits off your front desk and leave the rest with you. It is the piece that costs the most time and causes the most write-offs, and it is the easiest way to find out whether we are any good before you give us more.

The floors that cover verification work, and the credit ladder, apply to this plan exactly as they do to the full service.

The full insurance cycle

Verification, claims, posting, denials, appeals and insurance accounts receivable. One flat fee, one accountable partner, one scorecard. If you start on verification you can add the rest of the cycle later, and we will tell you when we think it is worth it rather than push.

Patient billing is not part of either plan, and neither are government-program claims. Prior-authorization support is included in the full insurance cycle.
